Venue owners answer the same questions all week: by email, on the phone, on tours. The answers exist. They just aren't on the website. That makes the first call with a venue owner unusually productive, because the content for most of the new pages comes out of the owner's mouth.

This worksheet is built on [The State of Independent Wedding Venue Websites 2026](/research/weddings), our read of 191 independent barns, estates, vineyards and lofts. We checked each site for nine questions a couple asks before they request a tour. The rarest answer: **only 9% of the sites show which dates are still open.**

::stat{ref="weddings/2026-q4#dates"}

Print this, or keep it open during the call. The questions run from the one venues answer least to the one they answer most. For each: the share of venue sites that leave it out, what to ask the owner, and the wording that answers it on the page.

## Before the call

Read the venue's site on your phone with the nine questions below and mark each one answered or not. Note where an answer is hidden: in a PDF brochure, a Facebook post or a FAQ accordion that is empty without scripts. The study read only pages a couple can reach from the home page, as a server delivers them, so a PDF price sheet did not count.

## 1. "Is our date still free?" Left out by 91%

**Ask the owner:** Where do you keep your bookings? How far ahead do couples book? Would you list the open Saturdays, or the booked ones?

Most venues keep a calendar already, in a spreadsheet, a booking tool or a paper diary. The page needs only the open dates for the next two seasons and the day it was last updated. Barns and farms are the most likely to have this (18% do); the 39 lofts and restaurants in the study had none.

**Open dates for next season**
These Saturdays are still open. Fridays and Sundays are open more often; ask us about those. We update this list when a date is booked.
:::

Under the heading, list the owner's open dates by month.

## 2. "What if it rains?" Left out by 64%

**Ask the owner:** Where does the ceremony go when it rains? Who makes the call, and when? Does the couple pay for a tent?

Barns state a rain plan on 48% of their sites, lofts and restaurants on 13%.

:::copy{label="On the page"}
**If it rains**
Every outdoor ceremony here has an indoor place to go. If the forecast looks wet, we decide together with you the morning before, and our team moves the chairs into the barn while your guests arrive. There is no extra charge for the move.
:::

Adjust each sentence to what the owner tells you; if a tent costs extra, the page should say so and say how much.

## 3. "Have other couples been happy here?" Left out by 59%

**Ask the owner:** Where do couples review you? May we quote three of them by first name and season?

Only 41% of the sites show reviews in a widget, as structured data, or as at least two quotes in a couple's own words. Quote the couples on the home and weddings pages, and mark them up as reviews.

## 4. "Can we book a tour online?" Left out by 54%

**Ask the owner:** When do you give tours? How long is one? Would you let couples pick a time themselves?

46% of sites let a couple book or request a tour online. A scheduler with the owner's real tour slots is the strongest version. A short form with the date, the guest count and two preferred times is the minimum.

## 5. "What will it cost us?" Left out by 51%

**Ask the owner:** What does a Saturday in peak season cost? An off-season Friday? Is there a package most couples choose?

49% of the sites show a starting price. Vineyards and wineries show one least, on 40% of their sites. Many owners worry that a price scares couples away; it sorts them instead, and the inquiries that still arrive can afford the venue.

:::copy{label="On the page"}
**What a wedding here costs**
Venue fees depend on the season and the day of the week. The table below shows our starting fee for each, and what most couples spend with catering and bar included.
:::

Under it, the owner's own fees by season and day. Never round them or estimate them for the owner.

## 6. "What's included in the fee?" Left out by 41%

**Ask the owner:** What do you set up, and what does the couple bring? Tables, chairs, linens, a coordinator, the getting-ready rooms, parking?

59% of the sites list what the fee includes, item by item; among vineyards and wineries, 42%. A plain list beside the price answers the next email before it is written.

## 7. "Can we bring our own caterer?" Left out by 30%

**Ask the owner:** In-house, a preferred list, or any licensed caterer? And alcohol?

70% of the sites state their catering or vendor policy, and lofts and restaurants most of all (82%). One paragraph is enough, and the answer can be no.

## 8. "How many guests can you hold?" Left out by 24%

**Ask the owner:** Seated dinner with a dance floor, standing reception, ceremony: how many for each space?

76% state a number. Give one for each space and each layout.

## 9. "Can we see real weddings here?" Left out by 5%

**Ask the owner:** Which photographers have shot here, and may we credit them?

95% of the sites have a gallery. Here the work is speed rather than content: 72% of the sites fail the phone load-time check, often because of the photographs. Compress the gallery and load it as the couple scrolls.

::chart{ref="weddings/2026-q4" highlight="dates"}

:::pitch{title="How do you pitch it?"}
1. **Open with the email.** "You answer these nine questions by email every week. Let's answer them once, on the site."
2. **Fill the worksheet on the call.** The owner's answers become the copy. You leave with the content for the rain plan, the open dates and the inclusions list.
3. **Quote two pieces of work.** The pages and wording, which are mostly a paragraph each; and the dates page with a tour scheduler, which needs the owner to keep one list current.

## After the call

Send back the worksheet with the owner's answers in it and the pages marked up. If they want to see what couples see first, the [inquiry email, line by line](/research/posts/wedding-venue-inquiry-email-line-by-line) shows the email their site makes couples write. For the same first-call approach in another industry, see the [discovery-call questions for physical therapy clinics](/research/posts/physio-clinic-discovery-call-questions).
